Overview

PURPOSE STATEMENT:

Performs the planning, organizing, coordinating and administration of the delivery of LPG by Tank Truck or Cylinder to residential and commercial customers on Oahu; ascertains and coordinates LPG inventory at the Company storage facility. Prepares management and compliance reports.

Responsibilities

ESSENTIAL FUNCTIONS/RESPONSIBILITIES:

  • Reviews LPG inventory and where necessary collaborates with the Supervisor, LPG Delivery to ensure proper levels. Coordinates supply issues with appropriate personnel, and truck liftings at the loading racks. Uses computer to track inventory and prepare reports. 
  • Responsible for the scheduling of LPG deliveries to tank and cylinder customers. Uses computer scheduler system to prepare truck route for truck mounted fuel recording system.  Receives and processes completed data and ascertains delivery status.  Makes decisions regarding delinquent customers within established parameters.  Analyzes delivery data of tank accounts and determines optimum resupply intervals. Makes adjustments in scheduling codes to alter computerized scheduling parameters. 
  • Contacts or responds to customers by phone or other appropriate electronic format (e.g. facsimile, e-mail, etc.) to resolve delivery problems or tank equipment repair requirements. Determines type of repair or follow-up required and initiates services orders to appropriate repair personnel or departments.
  • Collaborates with other departments to resolve customer problems and assists in coordinating tank removals, exchanges, relocations, etc. as necessary.
  • Develops or updates LPG delivery processes and procedures in coordination with the Supervisor, LPG Delivery consistent with Company policies and standards.
  • Performs all administrative duties required for this activity: Maintains electronic and manual files on all matters relative to this LPG delivery activity; initiates computer billing adjustments, editing delivery information and other administrative support services. Coordinates employee-related issues such as timesheet/paycheck matters, vacation/leave requests, change of status/address, etc.; monitors vacation/leave requests and reconciles; opens and routes incoming mail; types correspondence, reports and other materials; processes invoices for payment; maintains various files and logs to include employee data and compliance records; etc.  Responsible for the general appearance of the office.
  • Complies with and enforces appropriate safety rules and procedures for warehouse operations. Maintains EH&S training requirements to include hazmat training.  Reports all unsafe acts and conditions and correct those within authority.
  • Complies with all safety rules and cooperates in the fullest in the promotion of safety and safe work habits, to include the reporting of any unsafe conditions or acts. Maintains all EH&S training on a current basis.
  • Complies with all applicable Hawaii Gas policies and procedures.

OTHER FUNCTIONS/RESPONSIBILITIES:

  • Maintains assigned work area and equipment in a clean, orderly and safe manner; performs housekeeping duties as required and/or instructed. Works in a safe and responsible manner.
  • Performs other duties as required or assigned by supervisor/manager.

Qualifications

Required Education and/or Work Experience:

  • Business school graduate or similar work experience described above
  • 3+ years successful experience in all phases of the work described with proven strong administrative and organizational competence with good business skills.
  • Must have good analytical skills to evaluate problem situations to provide for effective resolution.
  • Working experience in a union environment.

Preferred Education and/or Work Experience:

  • Customer Information System; GDS (Gas Delivery System) software; Great Plains.
  • Working knowledge of the rules, tariffs and regulations of the Hawaii PUC.
  • Basic knowledge of NFPA #58, Coast Guard Regulations, Federal Motor Carrier Safety regulations, applicable parts of D.O.T. and OSHA regulations.

Required Licensure, Certification, Registration or Designation:

  • Valid Hawaii Driver’s license required.
  • May be required as a condition of employment to obtain and maintain certifications for access to controlled facilities and to handle sensitive information regarding DHS matters.
